Run an AI call center for your support line, with a human fallback
An AI call center answers your support line with a voice agent that solves routine calls from your help center and transfers hard ones to you with a summary. Connect a voice agent, a help desk, a transfer number, and an automation that files each call. ZeroCrew ranks the tools for every part.
An AI call center answers your support line on the first ring, solves the routine calls from your help center, and hands the hard ones to a person with a summary of what the caller already said. ZeroCrew built this use case for founders who run support alone, so customers reach a helpful voice at any hour while you build the rest of the company.
The cost of a support line you can't staff is the customer on hold. ZeroCrew sees founders with zero employees answer support calls between meetings, during deep work, and late at night, and every unanswered call turns into a voicemail, a refund request, or a quiet cancellation. A founder who solves support calls fast keeps the customers they worked hard to win.
ZeroCrew's AI call center chain has four parts: a voice agent that answers, a help desk that holds your answers and tickets, a human fallback for the calls the agent shouldn't keep, and an automation that files every call. Below are two ZeroCrew-listed tools for each part, the prompt, and the checks to run first.
Why is running a support line by hand so hard?
Running a support line by hand is hard because phones keep a 24-hour clock and one founder doesn't. ZeroCrew counts it in hours: a line open every hour of the week needs 168 hours of cover, and one full-time work week covers about 40, so round-the-clock cover equals more than four full-time work weeks, before breaks, holidays, and sick days.
Staffing a phone line with people costs real money. According to the U.S. Bureau of Labor Statistics (May 2025 data), customer service representatives earn a median of $21.53 an hour, and some call centers run 24 hours a day with early and late shifts. ZeroCrew puts that next to the per-minute prices of the voice agents in its directory, below, so you can compare the two for your own call volume.
The work inside each support call is bigger than it looks. ZeroCrew counts five moves in a good support call: find out who the caller is, understand the problem, look up the answer, fix it or promise a next step, and write it down so nothing gets lost. Done by hand between other work, the write-down step is the one that slips, and the customer has to explain everything again next time.
How does an AI call center with a human fallback work?
An AI call center with a human fallback works in five moves: answer, solve, hand off, file, and review. ZeroCrew wrote the chain below from the tool descriptions in its directory, opened in November 2026, and each move runs without you opening an app:
- A customer calls your support number, and the voice agent answers in a natural voice and says it's an AI assistant.
- The agent answers from your help center articles, your policies, and your order or account data, and solves the routine questions on the call.
- When the caller asks for a person, gets upset, or needs something the agent shouldn't decide, the agent transfers the call to you and tells you who is calling and why.
- When no one picks up, the agent takes a message, promises a callback time, and opens a ticket in your help desk with the transcript.
- Each morning, you read the calls the agent couldn't solve and turn the answers into new help center articles.
The human fallback is what makes callers trust the line. ZeroCrew points to the Consumer Financial Protection Bureau's report on chatbots in consumer finance (June 2023), which describes "doom loops", where a customer whose issue falls outside a bot's limits keeps getting the same replies with no way out. A line that always offers a person avoids that trap.
Which tools do you need for an AI call center?
An AI call center needs four kinds of tools: a voice agent, a help desk, a human fallback, and an automation that connects them. ZeroCrew's AI voice agents page and help desks page rank the alternatives, and the table below shows two options for each part and when to pick which.
| Part | Two options | Pick the first when | Pick the second when | Alternatives on ZeroCrew |
|---|---|---|---|---|
| Answer the call | Retell AI or Vapi | You want a visual canvas and warm transfers | A developer will build it in code | AI voice agents |
| Hold answers and tickets | Zendesk or Help Scout | You want calls and tickets in one product | You want a lighter shared inbox and help center | Help desks |
| Human fallback | Retell AI transfer or Smith.ai | You can take the transfers yourself | You want live human agents to cover for you | AI receptionists |
| File every call | Zapier or Make | You want the widest app list | You want every step on a visual canvas | Automation |
The voice agent is the part your customers hear, and ZeroCrew's AI voice agents page shows that solo founders say they use Vapi most and that Retell AI draws the fewest price complaints. Retell AI's pricing page (as of November 2026) lists $0.07 to $0.31 a minute and $10 in free credits, and Vapi's pricing page lists $0.05 a minute for hosting, plus the model and voice providers at cost.
Retell AI suits founders who want the human fallback without writing code. ZeroCrew's Retell AI page describes call flows on a drag-and-drop canvas and agents that transfer calls to a person, and Retell AI's docs describe a warm transfer that can play you a private whisper message before the caller joins, which you can set up as a short summary. Synthflow and Bland AI, also on ZeroCrew, build phone agents with their own call-flow designers.
The help desk is where the agent finds its answers and where every unsolved call becomes a ticket. ZeroCrew's help desks page shows Zendesk as the most searched, and Zendesk's pricing page (as of November 2026) lists telephony on its Suite Team plan at $55 per agent a month, paid yearly. Help Scout starts with a free plan and lists its Standard plan at $25 per user a month, with phone through an integration.
Online stores have a help desk built for them in Gorgias, which ZeroCrew's help desks page shows drawing the fewest price complaints among help desks, with live Shopify order data beside every call, chat, and email. Founders who also want chat and email answered by AI can add Fin or Crisp, both listed on ZeroCrew.
The human fallback can be you or a team you rent. ZeroCrew's Smith.ai page describes AI receptionists backed by live human agents with warm transfers, and Smith.ai's pricing page (as of November 2026) lists a free AI plan for 25 calls a month and live-agent plans from $300 a month for 30 calls. Founders who want every escalation themselves can point Retell AI's transfer at their own mobile.
The automation step keeps every call on file, even the ones you never heard. ZeroCrew's Automation page lists Zapier, which connects more than 9,000 apps, and Make, which starts on a free plan with no time limit. ZeroCrew's Retell AI page lists integrations with Make and n8n, so each call summary can open or update a ticket in your help desk.
Copy the prompt
You are the support line for {business name}. You answer calls from customers who need help with {product or service}. Your goal on every call is to solve the problem, or hand it to a person with a clear summary.
Start every call with: "Thanks for calling {business name} support. I'm an AI assistant, and I can help with most questions or connect you to a person." If a caller asks whether you're a person, say you're an AI assistant.
If the caller asks for a person at any point, go to step 6.
1. Ask for the caller's name and the {account email, order number, or phone number} you use to find their account.
2. Ask what's wrong, and repeat the problem back in one sentence to confirm you understood it.
3. Answer only from the help center, the policies, and the account data you can see. If you don't know the answer, say so and move to step 6 instead of guessing.
4. You may do these on your own: {actions you allow, like resending a receipt, sharing order status, or resetting a password link}.
5. Never promise a refund, credit, or exception above {limit}. For those, say a person will review it and move to step 6.
6. Transfer the call to {transfer number} when the caller asks for a person, is still upset after you've tried once to help, mentions {sensitive topics, like security, legal, or safety}, or when you can't solve the problem after two tries. Before you connect them, tell the person who answers: the caller's name, what they need, and what you already tried.
7. If no one answers the transfer, or it's outside {business hours}, say sorry, tell the caller someone will call back within {callback time}, and confirm their callback number.
8. Stay calm and kind with upset callers. Don't argue, and don't read long articles aloud: give the answer in two or three short sentences.
9. Never ask for or read back full card numbers, passwords, or security codes.
After every call, send a summary to {help desk email or automation}: the caller's name and contact details, the problem, what you did, whether it's solved, and the next step with its owner.Paste the prompt into your voice agent's instructions, the box most tools call the prompt or the system message, and replace every placeholder with your own details. ZeroCrew wrote the prompt in plain sentences so it fits the voice agents in its directory, and the escalation rules at the end are the ones to tune first as you read real calls.
How do you set up an AI call center for your support line?
Setting up an AI call center for your support line takes eight steps and about a day. ZeroCrew wrote each step from the tool descriptions in its directory, opened in November 2026; screens differ from tool to tool, so each tool's own help pages have the current version.
- Pick a voice agent from ZeroCrew's AI voice agents page and start its free credits or free trial.
- Pick a help desk from ZeroCrew's help desks page, and write help center articles for your ten most common support questions.
- Connect the voice agent to your help center as its knowledge base, and add your refund, shipping, and account policies.
- Paste the prompt from this page and fill in every placeholder, including your business hours and callback time.
- Set the transfer number to your mobile or to your Smith.ai line, and turn on the warm transfer summary if your tool offers one.
- Connect Zapier, Make, or n8n so each call opens a ticket with the transcript, the caller's number, and the agent's summary.
- Buy or port a phone number in the voice agent, or forward your existing support number to the agent's number.
- Call the line from another phone and play five callers: a simple question, an angry customer, a refund request, a caller who asks for a person, and a caller at 3 a.m.
What should you check before you trust an AI support line?
Trust an AI support line after a week of test calls and real calls you've read. ZeroCrew suggests reading every transcript in the first week, because a wrong policy, a missed handoff, or a ticket with no callback number shows up in the transcripts before it shows up in a review.
ZeroCrew's first-week checklist covers the five things that go wrong most often when a voice agent runs a support line, and each one shows up clearly in a transcript or a ticket:
- Every caller who asks for a person gets a transfer, or a message and a callback time.
- Every transfer reaches you with a short summary, so the caller doesn't repeat the story.
- Every unsolved call has a ticket with the transcript and a callback number.
- The agent quotes only your written policies and never promises a refund you didn't approve.
- The agent says it's an AI assistant at the start of every call.
Telling callers they're talking with an AI is the law in the EU. ZeroCrew notes that Article 50 of the EU AI Act, which applies from 2 August 2026, requires AI systems that talk with people to be built so people know they're talking with an AI, unless that's obvious from the context. The prompt on this page opens every call that way.
AI help also makes people better at the support work they keep. ZeroCrew points to a study of 5,179 customer support agents by Erik Brynjolfsson, Danielle Li, and Lindsey Raymond (NBER, 2023), which found that an AI assistant for agents raised issues resolved per hour by 14% on average, with a 34% gain for novice and low-skilled agents, and improved customer sentiment.
How does ZeroCrew help you build an AI call center?
ZeroCrew helps you build an AI call center by ranking the options for every part, so your support line runs on tools that fit your business. ZeroCrew's AI voice agents page, help desks page, and chat and email agents page rank the tools by how many people search for each and by what founders post about them, such as which they use and whether the price feels fair.
Your own AI assistant can do the comparison with ZeroCrew's public MCP server at https://zerocrew.ai/api/mcp/public. The server can search the directory, read a tool's page, list roles, and list the tools for a job, so Claude or ChatGPT can pull every voice agent and help desk before you pick. ZeroCrew's MCP servers list shows that Retell AI, Vapi, Gorgias, and Make all have their own MCP servers.
For a phone line that books jobs instead of solving support calls, ZeroCrew's use case on answering every missed call with an AI receptionist covers that setup. If you'd rather hand the whole support line to someone, ZeroCrew's AI agent setup sets up a voice agent that answers your phone and an agent that drafts support replies, starting at $1,000 a month.

Questions founders ask
What is an AI call center?
An AI call center is a support line where a voice agent answers calls in a natural voice, solves routine questions, and passes the rest to people. ZeroCrew's AI voice agents page lists the platforms founders use to build one.
How much does an AI call center cost for a small business?
As of November 2026, Retell AI's pricing page lists $0.07 to $0.31 a minute, and Vapi's lists $0.05 a minute for hosting plus model and voice costs. ZeroCrew links to both from its AI voice agents page, so you can price your own call volume.
Can an AI call center transfer a caller to a real person?
Yes. ZeroCrew's pages for Retell AI and Smith.ai describe agents that transfer calls to a person, and Retell AI's docs describe a warm transfer that can play you a private message, such as a short summary, before the caller joins.
Should an AI support agent say it's an AI?
Yes. Article 50 of the EU AI Act, which applies from 2 August 2026, requires AI systems that talk with people to make that clear unless it's obvious, and the prompt on ZeroCrew's use case page opens every call that way.
Is an AI call center the same as an AI receptionist?
An AI receptionist mostly books jobs and takes messages, while an AI call center solves support questions for existing customers and escalates the rest. ZeroCrew lists both, on its AI receptionists and AI voice agents pages.
Zero employees. Never build alone.
